Important Customer Information
We want you to enjoy a completely successful holiday. Please read this notice, which contain important information regarding your travel arrangements.
Booking Conditions
Harvey World Travel (UK) Limited t/a Harvey World Travel acts as an independent agent for tour operators and other suppliers. All bookings made are subject to the terms and conditions of these operators and suppliers. We recommend that you read these terms and conditions before you book your holiday. Once you book your holiday agent you will be bound by the terms and conditions of the tour operator and/or other supplier.
Health and Safety Requirements
Vaccinations: Before travelling in certain countries, vaccinations may be recommended or compulsory. The Department of Health issues simple guidelines in their leaflet Health Advice for Travellers (T4). It is recommended that some vaccinations are required several weeks before departure. Please check with your own doctor in good time.
Medical conditions: Passengers with any medical conditions must obtain written approval to travel from their doctor. Restrictions may apply if travelling when pregnant. Please ask for further details.
Safety Issues: The Foreign and Commonwealth Office (FCO) issues up-to-date information on safety issues for many countries. For safety information relating to your holiday, please ask Harvey World Travel. You can obtain this information directly, on BBC Ceefax, or by telephoning the FCO Travel Advice Unit on 020 7270 1500.
Insurance
Harvey World Travel offers insurance cover and our staff are happy to help you arrange appropriate cover for your trip. If you choose not to purchase insurance from Harvey World Travel or your chosen tour operator, you must advise us of your alternative insurance arrangements. Please check your policy carefully. Your cover should be at least equal to that offered by your chosen tour operator; if not, insurance is at your own risk.
If you intend to take part in any dangerous sports or activities while travelling with Harvey World Travel or any of its associated tour operators, please check to ensure that you are sufficiently covered.
If you have a pre-existing illness or have attended hospital either as an in- or out-patient, within six (6) months up to and including your intended departure date, you must contact the insurance company directly. It is important to note that your insurance policy contains conditions and exclusions relating to non-insured travelling companions, close relatives or persons with whom you intend to stay whilst on your trip in the event you need to cancel or curtail
An administration charge may apply, per person, when cancelling a holiday with free insurance.
If you need to make an insurance claim, please contact your insurer.
Passport & Visa Requirements
It is your responsibility to ensure that you have a valid passport for those travelling, including children, and all necessary visas for your holiday destination. In some cases passports must be valid for up to six (6) months after the date of your return. It is essential that the initials and the name on your travel ticket match those on your passport(s).
Regardless of age, each person travelling must be in possession of a separate passport. Please contact your nearest Passport Office for details.
Visa requirements for holders of British Subject, Irish and non-British passports are often different to those of British Citizens.
There may be different visa requirements for anyone with a criminal record. Please check if a visa is required. And please allow sufficient time to apply, as this is often a lengthy procedure.
Harvey World Travel accepts no responsibility for cancellations due to refusal or non-entry regulations by relevant authorities. It is essential that you give us accurate information about the passport type held by each member of your party.
Some entry stamps can prevent entry into certain countries (notably Arab countries if a passport contains an Israeli stamp). For all visa requirements we recommend you contact the embassy of the country you are intending to travel to.
Late Offer holidays
Some Late Offer holidays (usually booked within a few weeks of departure) may not be taken from a brochure. No comparison with brochure prices can be made as they may be of a higher or lower value. If booking this type of holiday, please ensure that you read and understand the tour operator’s booking conditions.
Specific facilities and special needs cannot be guaranteed on late offer holidays. The final choice of resort and/or accommodation is often left to the tour operator and allocated on your arrival at the destination airport. Some tour operators do not include free airport transfers to/from your holiday accommodation. Please ask when booking.
Car Hire
When taking a holiday that includes free or pre-paid car hire, there are often associated costs payable when collecting the car (e.g. local tax, collision damage waiver (CDW), fuel and extra insurance). Please ask which form of payment is advisable in such circumstances.
Special Requirements
Special requests (e.g. low floor, adjoining rooms) are subject to availability from the tour operator, and are not guaranteed unless confirmed in writing prior to travel.
Surcharges
Tour operators and airlines occasionally have to impose surcharges on holiday/travel prices after you have booked. Sometimes this can happen after your balance payment has been made.
Surcharges cannot be applied to holidays and flights booked under a no surcharge guarantee. If in doubt about your booking, please check.
Flight Only Bookings
Scheduled flight tickets often have restrictions, which mean that no changes or refunds whatsoever can be made once the reservation is confirmed. Please ensure that you are completely happy with your travel arrangements before confirming the reservation. Scheduled Airlines will not guarantee your fare unless full payment is made at the time of booking. If in doubt about your booking, please ask.
On scheduled and chartered airlines children of two (2) years of age and over, on the date you return to the UK must, by law, occupy a paid-for seat.
Customer Satisfaction
In the unlikely event that you have concerns or queries during your holiday, always inform your representative and ensure they complete a Customer Service Report and give a copy to you.
Where applicable take photographs and keep any evidence.
Lost or stolen belongings should be reported to the local police within 24 hours and a crime report obtained to enable your insurer to assess your claim.
Financial Protection
Harvey World Travel is a fully bonded member of the Association of British Travel Agents (ABTA). Therefore, all monies paid are covered by the ABTA financial protection scheme.
Data Protection and privacy
Harvey World Travel may receive personal information from you and may need to pass this information on to tour operators or other authorities in order to comply with regulations. You are protected in this regard by the Data Protection Act 1998.
Harvey World Travel is committed to the protection of your personal information and will always maintain control over its confidentiality. We may, however, facilitate relevant offers from other reputable companies. These companies are not permitted to retain any customer information unless the customer specifically expresses interest in their products or services.
Whenever Harvey World Travel hires another organization to provide support services, we require them to conform to our privacy standards and to allow us to audit them for compliance.
Payment for Travel Arrangements
To precede with your travel arrangements you may be asked to pay a deposit. In some circumstances the entire cost of the holiday will be due on booking. You will be informed if this is the case in your travel arrangement recommendations.
In the event that your arrangements require full payment later you will be informed in advance of the date your balance is due. If the payment of the balance is not received by the date indicated on your travel arrangements invoice we reserve the right to cancel your arrangements and retain your deposit or any payments made to date.
Payment Methods
Harvey World Travel welcomes payment by credit card, debit card, cheque or cash. Your payment must be made in pounds sterling.
Please note personal cheques cannot be accepted when travelling within three (3) weeks of the date of payment, unless supported by a valid cheque guarantee card.
Credit/debit cards payment may be made by calling the telephone number shown overleaf or by visiting our office or another Harvey World Travel store. A surcharge – which is unfortunately beyond our control – is levied on all credit card transactions.
Cheques must be made payable to ‘Harvey World Travel (UK) Limited’, crossed ‘Account Payee Only’ .
Cash payments can be made only by personal visit. We do not accept cash in the post.
